Job Purpose
- The incumbent is responsible for managing day-to-day administrative operations, ensuring smooth functioning of the office, supporting staff and management, and maintaining efficient workflow across departments. The role involves office coordination, vendor management, documentation, facility administration, and general support.
Key Responsibilities
Administrative Support and Office Management:
- Oversee day-to-day office operations, including correspondence, filing, documentation, and record management.
- Manage courier dispatches and ensure timely delivery and tracking of all outgoing and incoming parcels.
- Maintain and monitor office supplies, stationery, and asset inventory to ensure availability and proper usage.
Time Office Management:
- Monitor and manage biometric attendance systems on a daily basis to ensure accurate time tracking.
- Maintain precise employee attendance records, including shift schedules, overtime, and leave data.
- Verify daily attendance entries and prepare monthly attendance summaries for payroll processing.
- Update the system with new joiners, resignations, shift changes, and other employee movements in a timely manner.
- Process leave applications, maintain updated leave balance reports, and track absenteeism trends.
- Prepare and share daily, weekly, and monthly time office reports with HR and management.
Compliance & Documentation
- Ensure adherence to company policies, labor regulations, and statutory norms (PF, ESIC, etc., if applicable).
- Maintain confidentiality of company data, employee information, and official documentation.
- Support internal audits and ensure proper documentation for compliance.
Travel, Logistics & Event Coordination
- Coordinate travel arrangements, hotel bookings, and logistics for employees and visiting guests.
- Assist in planning and organizing company events, audits, and employee engagement activities.
Vendor & Facility Management
- Liaise with vendors and service providers to ensure smooth facility maintenance and efficient office services.
- Review quotations, coordinate AMC (Annual Maintenance Contracts), and ensure timely service delivery.
- Maintain vendor records, bills, and documentation for audit and compliance.
Education and Experience
· Graduate in any discipline.
· 8 to 12 years of experience in time office and administrative roles.
· Experience in manufacturing, construction, or corporate environments preferred.
· Familiarity with HRMS / ERP systems is an added advantage.
